5 Questions to Ask Before Booking a Conference Room

Whether you’re planning a one-day conference, a corporate event, or a larger meeting, there are a few questions worth asking before you make a decision. Here are five questions that can save you both time and money.

1. Is the conference room suitable for our purpose?

Every conference is different. A board meeting has different needs than a training session or a corporate event with several hundred participants.

Think about:

  • How many participants will be attending?
  • Do you need a group room?
  • Will it be possible to rearrange the furniture in the room?
  • Is there room for a social gathering or an exhibition?

Choosing the right conference room from the very beginning makes a big difference in the overall experience.

2. Is it easy for participants to get there?

A conference begins long before the first item on the agenda. If participants can easily travel to the event, their experience will be better right from the start.

We recommend choosing a conference venue with a central location and good transportation links. For many companies, it’s an advantage to be able to reach the conference quickly from Stockholm, Arlanda, and other parts of the Mälardalen region.

3. What exactly is included?

Two conference rooms may look the same—but offer completely different amenities. Always ask what’s included.

This makes it easier to compare different options and avoid unexpected costs.

4. Do you have the technology and support you need?

Technology should be a natural part of the conference, not a source of stress. Make sure the venue provides the equipment you need and that technical support is available on-site in case anything goes wrong.

5. Is there time for networking and breaks?

Many of today’s most important conversations take place between program items. Therefore, consider whether the conference venue offers:

  • restaurant

  • places where participants can continue their conversations
